Before starting work at Trinity Health Of New England, you need to complete a variety of tasks to ensure a smooth onboarding process. Use this page to guide you each step of the way.

New Hire Mandatory Processes
The following steps must be completed before you will be able to begin work.
Throughout the pre-employment process, most of our communication will come through email. Please watch for multiple emails between now and your scheduled start date. Be sure to check your spam/junk folder if you don’t see an email within the timeline below.
Our communication timeline is as follows:
- This step will be completed through Sterling
- Watch for an email from noreply@sterling.app and follow the instructions. This process may take multiple weeks, so it is important to fill out the information as soon as possible
- After you enter your information into Sterling, the report can be processed while other pieces of the pre-employment process are being completed. Please be responsive to any communication from Sterling as this is an attempt to verify information in your background check.
- NOTE: If you are a colleague working in Massachusetts your Sterling Invitation email will include a link to the iCORI Required Consent Form which must be signed and attached to your background check to process.
- This step will be completed in your Candidate Home Account in Workday where you applied for the position.

The Department of U.S. Citizenship and Immigration Services (DCIS) requires a valid I-9 Employment Verification to be on file for all new and returning colleagues.

- You will need to follow the two-step process to complete your I-9 Verification:
- Step 1: Complete section 1 of the form AND schedule an appointment online
- Step 2: Present your documents during your scheduled in-person appointment
- This appointment must be completed by your 3rd day of employment
- Please visit the Official Website of Homeland Security for a list of acceptable documents

PLEASE NOTE: All colleagues who fail to provide a completed I-9 (Section 1 and Section 2) in the Equifax system by the end of the 3rd day of employment, by law, must be removed from the schedule and prohibited from returning to work until one is provided. If both Section 1 and 2 are not completed within 21 days after the first day of employment, the colleague should be termed.
- This step will be completed in Workday (Employee)
- You must be hired into the Workday system before you will be able to complete this step. You will receive new login information once your employee account has been created
- First, you’ll need to activate your account. You will receive two (2) automated emails from Trinity Health with your username and temporary password. It may take up to five (5) business days after you sign your offer letter to receive both emails.
- Once you login, please complete all the onboarding tasks available to you
- o As you complete certain tasks, you may need to click refresh for additional tasks to appear.
- NOTE: If you are a rehired employee, you will receive a separate email from Trinity Health with instructions to regain Workday access. If you do not receive that email, please see the instructions HERE to access Workday.

- Please reference your Welcome Email or Appointment Confirmation email for appointment date and time.
- Appointments can last approximately 2 hours. If you are unable to attend your appointment, you will need to reschedule at least 24 hours before your scheduled appointment time.
- If you need to reschedule your appointment, it must be completed at least 10 days before your start date.
- Your health assessment will include a urine drug screen and blood draw, at no cost to you.
- NOTE: All Male employees who require respirator FIT testing MUST shave before appointment to be compliant with OSHA requirements.
- You will need to bring to your appointment:
- Completed Employee Health Exam Packet
- Valid government-issued photo ID
- Immunization records (If you do not have a copy of your immunization records, please plan to attend the onsite lab after your appointment for a blood titer draw.)

- If your position requires specific education, licensure, or certification, please reply to the “Welcome to Trinity Health! | Onboarding” email you received with this information.
- If your position requires BLS/HCP certification (Basic Life Support for Healthcare Providers) and you do not have one or need a renewal, please follow THIS LINK to view a list of approved providers. It is required that you renew or obtain your BLS certification before your start date to avoid delays.
- NOTE: We do not accept BLS certifications from Online Only BLS Providers, please see the approved provider list above if you require a BLS certification or renewal. If you have additional questions, please reach out to your Coordinator.
- Please monitor emails regularly and respond quickly to any request which is sent – these may come directly from our local TA Team, Sterling or Trinity Health.
- NOTE: all required documentation and information must be completed by 12:00pm the Wednesday before your start date in order to start as scheduled.

- For Colleagues working at Mercy Medical Center and Medical Group Locations CLICK HERE to complete the Badge and Parking Form. Please fill out the entire form. If unsure of anything, please email your employment coordinator directly. Please email the completed form to: sfhsidaccessrequests@sphs.com
- Johnson Memorial Hospital: Please connect with your Manager to obtain your Employee Badge, this will require you to send them a clear headshot photo (similar to a Driver’s License or Passport Photo) which Security will use to create your badge.
- You will receive an email no later than the Friday before your start date notifying you that you are approved to start work.
- This email will include your Day 1 orientation schedule and instructions for reporting to work or clinical orientation on Day 2.
- The first day (Day 1) of orientation is completed virtually online from your home. If you do not have access to a computer, please notify your Coordinator so other arrangements can be made with your Manager.
- If for any reason you are not cleared to start before the deadline, we will notify you via email and let you know the next steps.
Vaccine Requirements for All Team Members
- Vaccine requirements include
- Varicella (chicken pox) - documentation of 2 doses of the vaccine or lab documented proof of immunity
- Influenza (Flu) – proof of vaccination from current season (Sept – May)
- Mumps, Measles & Rubella (MMR) - documentation of 2 doses of the vaccine or lab documented proof of immunity
- Pertussis - documentation of Tdap vaccine
- Hepatitis B (for jobs prone to exposure to blood) - documentation of 3 dose series or lab documented proof of immunity
- QuantiFERON test or proof of a negative TB test within 6 months. If history of a positive TB test, chest x-ray result within one year
- COVID – proof of vaccinations
- If colleagues are not up to date with any vaccination required for their position, we will suggest locations to get the vaccination(s) or information on the exemption process, if applicable. For the COVID-19 or flu vaccine, you will be required to provide proof of your vaccinations or complete and submit a Vaccine Declination form indicating the reason you are declining the vaccination(s), unless a declination is prohibited by law or regulatory requirements. - Meeting the immunization requirements is a condition of employment. Candidates may not join Trinity Health Of New England until the requirements have been met.
